It may be extended based on performance and mutual agreement of both parties.PurposeResponsible for providing leadership, representing Dell Medical School, and serving as a key partner and meeting constituent.ResponsibilitiesTrack, monitor and follow progress of projects, action items and strategies that emanate from the Dean; Initiate subsequent follow-up meetings and communication for key stakeholders as directed.Participate in strategic initiatives by leading them and identifying key roles, maintaining timelines and important communications; May at times perform training as part of staff on-boarding and development.Drive and lead key organizational and change management initiatives related to culture and other needs that arise (e.g., COVID, space planning).Work with the administrative support staff to the Dean to ensure accuracy, coordination, and prioritization of the master calendar; Draft summaries, reports and project descriptions that further the mission, strategy and development of DMS; Review correspondence and draft responses as appropriate, or forward to the appropriate person for response and/or reply.Oversee the operations and support staff of the Dean.Partner with administrative staff and others throughout the organization to ensure the proper coordination and success of enterprise-level events (e.g., Dell Med Grand Rounds, Ken Shine Prize Lecture, State of Our School, All Hands).Keep track of key projects and initiatives; Organize information and agendas to facilitate effective meetings of Dean and DMS senior leadership. Work with administrative staff to ensure that meeting discussion and decisions are summarized and documented. Ensure follow-up re: meeting outcomes.Ensure information flow to and from the Dean, via all types of venues (e.g., forums, correspondence, speeches, conferences, retreats, etc.; Facilitate communication and work closely with the Dean in a timely and efficient manner; Understand organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed.Serve process approval function for Dean's Office (financial, contracts).Partner with Communications and others to ensure timely, targeted, and appropriate internal communications to the enterprise. (Could take the form of writing as well as coordination.)Other related functions as assigned.Required QualificationsBachelor's degree in related field and at least five (5) years of project management experience with demonstrated organizational skills, including the ability to multi-task, balance priorities, and set and manage timelines for deliverables. Highly proficient in Microsoft Word, Excel, and PowerPoint with the proven ability to produce professional documents. Demonstrated excellent analytical skills, problem-solving ability, and strong critical-thinking skills. Ability to work efficiently and flexibly in a fast-paced environment with minimal guidance. Excellent verbal and written communication skills with proven ability to effectively communicate with all levels of management and respond to staff tactfully, clearly, and concisely. Outstanding organizational and time-management skills. Professional demeanor with respect at all times. Ability to address individuals and information with a high degree of sensitivity and confidentiality in various delicate, formal, or urgent situations.
