Job Posting Title:Manager of Academic Record Services, Department of Medical Education, Dell Medical School----Hiring Department:Department of Medical Education----Position Open To:All Applicants----Weekly Scheduled Hours:40----FLSA Status:Exempt----Earliest Start Date:Immediately----Position Duration:Expected to Continue----Location:UT MAIN CAMPUS----Job Details:PurposeReport to the Associate Dean for Student Affairs, the Manager of Academic Records Services provides strategic leadership and direction for all aspects of course scheduling, registration, and academic record-keeping at the Dell Medical School.ResponsibilitiesMaintain accurate academic records for all students at the school and directs processes to assure such accuracy.Assure timely and accurate integration of all Dell Medical School academic records with the Office of the UT Registrar.Responsible for all aspects of course registration, including: developing, publishing, reviewing course catalog; Managing the Course scheduling processes; Managing scheduling add drops and other changes; Managing course registrations for visiting students; Managing course registration for away electives.Develop and distribute the course, classroom, academic calendar each semester.Manage credentialing for students at various clinical affiliates in compliance with affiliation agreements and UT policies.Direct staff that work in the areas of Academic Records, Grades, Scheduling, Visiting Students and Credentialing.Create regular audits of student records to ensure accuracy and conduct regular graduation audits to ensure that students are eligible for promotion. Provide necessary data and support to the Medical Student Academic Standing Committee for promotion and academic decisions.Manage the technical components and processes involved in all duties and responsibilities named here.Act as Student Affairs Office liaison with Dell Medical School Technology Services. Work with Technology Services to update systems in response to academic policy changes, maintain student records, and update course scheduling, registration, grade reporting, degree audit, and other academic services systems.Ensure website reflects accurate and up-to-date information regarding academic policies and procedures.Supervise processing and maintenance of confidential student records, including grade reporting, leave of absences, return from leave, modified academic load and graduation certifications.Manage Year 3 dual degree registration, grade submission and track Year 3 students. Work with the University's Registrar's Office, the Graduate School, and educational partners to coordinate medical school systems with those of the University.Assist faculty and staff with FERPA questions to ensure compliance.Maintain statistical data, generate reports and analyze data for departments across the Medical School and accrediting agencies.Assist with graduation ceremony.Other duties as assignedRequired QualificationsBachelor's Degree and at least five (5) years of experience in higher education administration, specifically with academic records and registration. Excellent interpersonal skills with demonstrated experience in building connections and cultivating relationships with diverse constituents at all organizational levels and across departments. Strong organizational skills to plan, coordinate, and administer multiple programs and events concurrently, as well as to work within deadlines. Proven ability to demonstrate tact and diplomacy and maintain confidentiality. Ability to gather and analyze statistical data and generate reports. Accuracy and attention to detail. Team player with a positive attitude and ability to plan and adapt to change. Proficient computer skills, including Word and Excel.
