The Assistant Events Manager is responsible for the successful handling of groups involving 10 or more guestrooms. This role, under the general guidance and supervision of the Director of Banquet Sales, maximizes business opportunities, ensures effective communication with clients and efficient coordination with departments concerned. What will I be doing? POSITION STATEMENT Managing Banquet operations to ensure the achievement of established food and beverage quality and guest service quality standards and departmental revenue and profit goals. Adhere to local regulations concerning health, safety, or other compliance requirements, as well as brand standards and local policies and procedures. To perform all duties and responsibilities in a manner that ensures your safety and that of others in your workplace To actively promote the services and facilities of the Hilton Hotels to guests and suppliers of the Hotel To ensure proper handling of equipment throughout the department Actively plan and forecast all operating equipment needs for events, outside caterings, and as part of the CAPEX process Ensure compliance with all quarterly Food and Beverage audit requirements Ensure all meetings inquiries are handled within Meeting Success standard procedures and always meet 1-hour turnaround standard Ensure effective and productive coordination and service delivery of the AV team members Quality ambassador of the department Review and action Meeting planner survey feedback on a regular basis. Seek guidance and support in order to ensure that all the standards are implemented and maintained at all times To ensure all the setups are up to a high standard Check on an-on going basis that mise-en-place, service, and cleaning in the Banqueting (heart and front of the house) are of the highest standards and takes any necessary corrective action Ensure the availability of all food & beverage items and suggests the best alternative in case of shortage Aware of requirements in terms of food safety and hygiene standards and checks that these standards are implemented and maintained in all service and guest areas, and take any necessary corrective action Ensure Meet with Purpose standards are followed and implemented. Report maintenance request to relevant department within the set procedure and follow up through appropriate channels Execute all Food and Beverage activities and promotions according to guidelines given by Assistant /Director of Food and Beverage Provide input for preparation of Capital Expenditure Budget Constantly find new ways and means to improve quality and creativity Manage proactively the concepts and identity of each Food and Beverage outlet Aware of local and international Food and Beverage trends Facilitate the training and career development culture in the department Embrace and implement Hilton Food & Beverage vision Ensure all Hilton Icons and Brand standards are complied to and reviewed on a regular basis Proactively manage the QA process Conduct regular quality audits in the department Execute all Food and Beverage activities and promotions according to guidelines given by Assistant/Director of Food and Beverage Perform additional tasks as requested by the Assistant/Director of Food and Beverage. Support the Hotel Sales team with site inspections, client entertainment, familiarizations and other events that form part of the sales and marketing revenue plan. Ensure regular client contact when meetings/events are in-house through Daily Meetings Debrief, and ensure all hotel operational details are executed correctly Ensure client feedback is communicated and acted upon internally and manage resolution of any issues with the client within 48 hours. Own the Food & Beverage SALT score, encourages consistency through supervision, control and action planning when needed. Ensure a 100% consistency in Brand Service Standard delivery in all areas and reviews on a regular basis Enjoy regular guest contact with in-house and outside guests Engage in the welcome and recognition of VIP guests Ensure Safety for all Guests and Team Members alike as per OS&H guidelines Be familiar with all Risk management and emergency procedures of the hotel and fulfils his duties accordingly Handle queries and complaints in a timely, efficient and diplomatic manner. Record them in outlet log-book. Identify and suggest all possible ways to increase quality, range and value for money of the all the food and beverage items available throughout the property. Involved in the establishing, following and monitoring of financial plans Monitor and implement control procedures Ensure all financial procedures of the hotel are followed Manage operating equipment, FFE and Linen inventories proactively To be revenue driven and cost conscious To ensure that billing is accurate at all time in all the events Monthly P+L reviews and follow ups to be done promptly Participate proactively in regular purchasing reviews Encourage productivity and operational excellence and efficiency Encourage team work and spirit in all areas of the department To ensure that all outlet team members are aware of the objectives of the department (departmental balance score card) To ensure that all outlet team members are aware of the Department's KPIs and Objectives To ensure that all outlet team members are aware of the outlet brand standards To lead by example at all times To provide direction and support to the team on a daily basis To keep excellent relationships with team, peers, and all other colleagues of the hotel To develop all team members of the department with appropriate training and coaching To ensure that training needs are identified, addressed, and reported to Learning & Development team Prepare and follow up the departmental GTMs action plan Conduct and facilitate the Team Member Performance review process Familiar with the local labor law and ensures compliance with the support of HR Ensure departmental communication meetings are conducted and minutes prepared Encourage empowerment and entrepreneurial management in the department Coach and counsel team members The management reserves its right to move, transfer or re-assign team members from their accustomed shift or schedule, job function and department as business dictates. Likewise, Team Members may also be tasked to assist other departments or other Hilton properties on task force when necessary and when business demands. What are we looking for? An Assistant Events Manager serving Hilton Brands is always working on behalf of our Guests and working with other Team Members. To successfully fill this role, you should maintain the attitude, behaviours, skills, and values that follow: University graduate.Minimum 5 years of experience in a similar capacity with international chain hotels.Excellent command of written and spoken English and Chinese language to meet business needs.Good communication and interpersonal skills.Team player and able to manage by example.Have hotel sales experiences and hotel database.Able to work under pressure and deal with stressful situations during busy periods.Good organization and presentation skills.Very familiar with local market and good at marketing trend analysis.
