Job Posting Title:Finance Associate, Department of Medical Education, Dell Medical School----Hiring Department:Department of Medical Education----Position Open To:All Applicants----Weekly Scheduled Hours:40----FLSA Status:Non-Exempt----Earliest Start Date:Immediately----Position Duration:Expected to Continue----Location:UT MAIN CAMPUS----Job Details:General NotesThis position is hybrid with portion of work able to be completed remotely, but requires in person interaction for office hours, training and other activities.PurposeProvide accounting support for Medical Education including: accounts payable processing, purchasing, reconciliation of accounts, data entry, inventory control, and maintaining office equipment and supplies.ResponsibilitiesTimely processing of accounts payable for the department including, but not limited to purchase orders (PO), invoice and payment requests, travel authorizations and reimbursements, and vendor set up. Ensure departmental account coding is accurate for all payments.Process purchases thru UT Market Carts and with other vendors. Order general department supplies (copier, coffee, office) and maintain and track inventory. Reconcile department purchasing card (procard).Central resource for all payment related inquiries. Provide guidance and support to other team members on how to create payments, set up vendors, and purchasing rules and regulations. Provide departmental training sessions and 1:1 sessions.Provide regular reports tracking expenses and vendor contracts.Work with Department Manager and Associate Director of Finance to develop departmental policies and streamline workflow for internal financial requests. Support team in the annual physical inventory of capital and controlled assets (equipment, technology).Other related functions as assigned.Required QualificationsBachelor's degree and at least 3 years of related experience. Ability to work efficiently and accurately in a fast-paced environment with minimal guidance. Excellent verbal and written communication skills with proven ability to effectively communicate with all levels of management and respond to faculty and staff tactfully, clearly, and concisely.
